SUBPART A – Scheduling

            (a)        Introduction:      Scheduling is very important and necessary to maintain program and fund integrity. Scheduling should be done to carry out the action items outlined in the Indiana Business Plan and the work products developed in the Performance Plan. In addition scheduling is a system for making the most effective and efficient use of time and resources to insure work commitments are met.

 

            (b)        Policy:    Scheduling procedures established to maintain program fund integrity and accountability is the responsibility of the State Conservationist. Minimum requirements are as follows:

 

(1)    Schedules shall be developed and maintained on a monthly basis for all offices. This will be in the form of a detailed schedule for each office employee.

 

(2)    Schedules will be retained as a reviewable record until automatically removed in the system.

 

(3)    Schedules will be based on priority items determined by workload analysis, current workload, specific direction, etc.

 

(4)    Scheduling and its effectiveness will be reviewed during all performance and program reviews.

 

(5)    The activities of each day will be scheduled at the least on an AM/PM basis.

 

(c)        Guidelines:    Following is the main system for scheduling.

 

(1)    Microsoft Outlook Exchange Calendar will be used for detailed scheduling. This calendar will allow for ease of communication between employee and supervisor.

 

(2)    Employees will give supervisors online Reviewer permissions to view their Exchange Calendar.

 

(3)    All Field Office employees will give the ASTC – Field Operations online Reviewer permissions to view their Exchange Calendar.

 

(4)    If work is completed that is not on the schedule, it should be noted on the Exchange Calendar. When work is completed as scheduled, no further entry is needed.

 

(5)    Assistant State Conservationists for Field Operations may require the development of more detailed schedules than the example shown as an exhibit.
